How to Create a Run of Show (Step by Step, With Template)
To create a run of show, list every segment of your event in order, set a start time and a duration for each, add the cues each segment needs (talent, AV, notes), lock the segments that cannot move, and share it with your team. The fastest way to keep it current is to build it as a live document instead of a printed sheet.
Seven steps to a run of show
- List your segments in order.
- Set your start time and durations. Let the start and end times compute so you are not doing math by hand.
- Add the columns your show needs. Talent, AV, lighting, notes, whatever your event tracks.
- Write the cues. One line per segment is enough to keep the crew aligned.
- Lock what cannot move. Doors, meals, hard outs.
- Share one link. View for everyone, Edit for your build team.
- Run it live. Mark the active segment and let every screen follow.
