A free run of show template
Start with a proven layout, free. Everything the template holds is on this page, ready to rebuild in any tool, or open it live in NextShow with columns you control and times that cascade.
What is in this template
This template is the layout most shows actually run on: a Segment column naming each part of the event, Start and Duration, and columns for Talent, AV, and Notes. Six rows cover a typical evening from doors to close. Swap the rows for your own segments and the structure holds for a conference, a gala, a service, or a stream.
| Segment | Start | Duration | Talent | AV | Notes |
|---|---|---|---|---|---|
| Doors open | 6:00 PM | 30 min | House | Walk-in loop, lights up | Guests seated |
| Welcome | 6:30 PM | 5 min | Host | Mic 1, opening slide | Opening remarks |
| Keynote | 6:35 PM | 40 min | Speaker | Slides, spotlight | Q&A at end |
| Break | 7:15 PM | 15 min | House | House lights, music | Refreshments |
| Panel | 7:30 PM | 45 min | Moderator + 3 | 4 mics, lower thirds | Audience questions |
| Close | 8:15 PM | 10 min | Host | Outro slide, music | Thank you and exit |
Columns you can change
The columns are a starting point, not a rule. In NextShow, the Segment column becomes the description column that anchors each segment, and every other column is yours: add Song, Scene, Room, Lighting, or Camera, rename what is there, drop what your show does not track, and reorder until the table reads the way your crew thinks.
Excel, Google Sheets, or live
Use the tool your team already lives in. The layout above rebuilds in minutes in Excel or Google Sheets: one row per segment, the six columns, your own rows in place of the sample. Or skip the spreadsheet and open the same template live in NextShow, where the times compute themselves and the whole team shares one link.
From template to live run of show
A template gets you to the first draft. The show gets interesting after that, when the schedule changes. Open the template live in NextShow and the static table becomes a live run of show: edit a duration and everything re-times, lock the segments that cannot move, share a View link with the team, and mark the active segment on show day.
Questions
What is a run of show template?
A run of show template is a pre-built table for planning a live event: segments in order, start times, durations, and columns for talent, AV, and notes. You fill in your own segments instead of building the structure from scratch.
How do I use it in Excel or Google Sheets?
Create a sheet with the template's columns, Segment, Start, Duration, Talent, AV, and Notes, then add one row per segment, like the example above. The columns work as they are, or add and remove them to fit your show. You can chain the times with formulas, though they only hold while nobody inserts a row or types over a cell.
How do I make it live?
Open the template in NextShow instead of a spreadsheet. Same table, but the start and end times compute from your durations, changes reach every open link instantly, and you can mark the active segment as the show runs.
